Director of Operations

Position Overview:
Hunter Marketing seeks a driven and strategic Director of Operations who embodies compassionate leadership to drive agency success. Our leadership team believes in using both head and heart to inspire others to create a positive impact within the team, for our clients, and in our community. The Director of Operations will “make the agency work,” ensuring seamless integration and alignment across client services, project management, creative, market intelligence, sales, and workflow operations. Reporting directly to the CEO, the Director of Operations will play a critical role in shaping Hunter Marketing’s future, overseeing all operational aspects of the business.
Key Responsibilities:

Project & Budget Management:
-
Develop and monitor processes to optimize client budgets, with a target for all team members to maintain an average of 36.25 billable hours per week.

Forecast client needs to manage timelines and workload effectively, enabling the team to deliver exceptional work on time and within budget.

Identify and mitigate risks to budgets, project scopes, and timelines, making data-driven adjustments to ensure consistent client satisfaction.

Operational Efficiency & SOP Development:

​Oversee operational workflows, including creating and maintaining detailed scopes of work, contracts, and timelines for each project.

Partner with Marketing Directors to develop, implement, and refine Standard Operating Procedures (SOPs) for efficient project and client management.

Create templates, flowcharts, and tools to streamline communication across project management, content, creative, production, and media teams.

Implement scalable processes to minimize waste, eliminate bottlenecks, and improve the speed and quality of deliverables.

Team Leadership & Training:

Provide day-to-day leadership, managing and mentoring a team of project managers to build advanced skills and promote continuous learning.

Design and implement structured career paths for project managers, including clear advancement criteria toward roles such as Marketing Director.

Collaborate with Marketing Directors to proactively track and manage team time, helping to balance peak and low work periods efficiently.

Cultivate a team culture centered on communication, accountability, and respect, empowering all team members to excel.

Risk Management & Strategy:

Anticipate potential risks to projects and client satisfaction, developing and implementing effective risk mitigation strategies.

Establish protocols for managing unusual project peaks and valleys, alerting leadership when necessary to ensure timely and accurate adjustments.

Strategic Planning & Business Operations:

​Lead the development and implementation of Hunter’s annual strategic business plan, including aligning resources to meet agency goals.

Proactively manage financial performance by reporting on past performance and forecasting future business needs and opportunities.

Drive the agency to achieve sales, profitability, cash flow, and growth targets, supporting sustainable business development.

Technology & General Operations Management:

Oversee the agency’s technology systems and general office operations, ensuring they support efficient and productive workflows.

Foster a fun, collaborative work environment that enhances team morale and strengthens company culture.

Qualifications:

Proven experience in operations and change management with a strong focus on developing and implementing new processes to improve organizational efficiency.

Demonstrated success in optimizing workflows, standing up new processes, and aligning cross-functional teams to enhance overall productivity.

Ability to analyze current operations, identify areas for improvement, and implement solutions that drive impactful change.

Experience in leading operational change with a focus on measurable results, ensuring that each new process is scalable and supports long-term goals.

Skills:

Proficiency in Microsoft Office Suite and Google Workspace for streamlined communication and data management.
